W-2 Information

Electronic W-2s are posted in late January each year in the Employee Dashboard for active UNM employees and recent retirees who consented to receiving their W-2s electronically.  In late January each year, an email notification is sent to those who consented to the electronic W-2 to notify it is available.

Printed W-2s are mailed to active UNM employees and retirees who did not consent to receive their W-2s electronically and all former UNM employees by January 31 each year.  If you do not receive your paper copy by February 15 th, please email pay@unm.edu for assistance.

Active employees and retirees who did not consent previously may now do so for future years and to see some prior year W-2s online.

The Payroll Office and the IRS do not initiate contact with our employees regarding Form W-2s or income taxes via emails.  Please do not click on any links in suspicious emails. Click here for Service Now on how to forward spam mail as an attachment to spamdrop@unm.edu.


Instructions for completing the "Electronic Regulatory Consent" election:

  1. Start with MyUNM at https://my.unm.edu/home
  2. Click on the “Staff ” link
  3. Click on the Banner 9 Links tile
  4. Click on Employee Dashboard
  5. Expand the Taxes menu
  6. Click on “Electronic Regulatory Consent”
  7. You may be asked to login again using the Multi-Factor Authentication (MFA) process
  8. If you want access to your W-2 forms electronically, click on the “Consent to receive W-2 electronically”  checkbox and click “Submit”

 

Instructions for accessing your secure electronic Form W-2 in the Employee Dashboard:

  1. Start with MyUNM at https://my.unm.edu/home
  2. Click on the “Staff” link
  3. Click on the Banner 9 Links tile
  4. Click on Employee Dashboard
  5. Expand the Taxes menu
  6. Click on the W-2 Wage and Tax Statement
  7. Select the appropriate Tax Year and click Display
  8. You may print your W-2 to a PDF via the "Printable W-2" button found on the bottom left corner of your screen.

 

How are the boxes on my W-2 calculated?

You can use the worksheet located in the Employee Toolbox to better understand the calculations used for your Form W-2.  Please refer to your corresponding final paystub for the same year as your Form W-2 when using this worksheet.

Multi-factor Authentication for W-2 Online Forms

To improve security and prevent unauthorized access to employees' W-2 online data, UNM IT and Payroll have implemented multi-factor authentication in front of the W-2 online form in the Employee Dashboard. 

  • MFA adds a second layer of security to your online accounts. Verifying your identity using a second factor (like your phone or other mobile device) helps prevent anyone but you from logging in, even if they know your password.
  • The first time you access certain UNM services, you will be prompted to enroll a device- you can use a smart phone, feature phone, or Authenticator app depending on the situation.
  • Once enrolled, you will use your device to complete the MFA login process each time you access certain systems.

Once registered to MFA, employees can successfully log in and access the W-2 online form using their UNM credentials (Net ID and password) and confirm login using their device.  Please refer to Service Now for additional information on multi-factor authentication and added benefits.

Can I get prior year W-2's reprinted?

Yes, the Payroll Department can reprint the last 3 years’ worth of W-2's. Individuals that live in Albuquerque, Bernalillo, Corrales, or Rio Rancho will need to come to the Payroll Department to request a reprint. For individuals that live outside of those cities, send an email to pay@unm.edu and include full name, last four digits of social security number, which W-2's are needed, and valid mailing address. W-2's will not be emailed or faxed.
